We collect information you provide directly to us, such as your name, email address, phone number, and project details when you submit a contact form or request a consultation. We also collect standard server logs and analytics data when you visit our website.

We use the information we collect to:

Free website audit

When you use our free website audit, we store the website address you submit, the audit results and a one-way hash of your IP address (used only to prevent abuse). If you unlock the full report, we store your name, email address and any optional details you give us (company, phone number and main goal). We use them to email you the report link, to let our team see your request and, if appropriate, follow up once about your results. We only send marketing emails if you tick the optional opt-in box, and we record that choice. Audit results without contact details are deleted after 30 days, and audit leads after 12 months, unless you ask us to delete them sooner.

PDPA Readiness Checker

When you use the PDPA Readiness Checker, your answers are scored in your browser and are not sent to us unless you ask for something. The checker does not ask for customer records, identity numbers or documents.

If you request the detailed report, a consultation or a place on the Comply waiting list, we store your business name, contact name, work email, optional phone number, business category, the next step you chose and a summary of your readiness score (not your individual answers). We use them to email you the report, let our team respond to your request and, if appropriate, follow up once about it. We only send marketing emails if you tick the optional opt-in box, and we record that choice and when you made it.

These details are stored on MetaXell's server hosted by Contabo in Germany, and emails are sent through Google (Gmail). The checker records anonymous usage events in Google Analytics, such as starting or finishing the check, without your answers or contact details. We delete checker requests after 12 months, unless you ask us to delete them sooner.

3. Information Sharing

We do not sell, trade, or rent your personal information to third parties. We may share information with trusted service providers (e.g. hosting, email) strictly to operate our business, under confidentiality obligations.

4. Cookies

Our website may use cookies to improve user experience and gather anonymous analytics. You can disable cookies in your browser settings; however, some features may not function correctly without them. The free website audit uses two essential cookies: one that lets your browser open the audit reports you started or were sent, and one that remembers you have already unlocked a report so you do not need to fill in the form again.

We implement industry-standard security measures to protect your personal information. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

6. Data Retention

We retain personal data only as long as necessary to fulfil the purpose for which it was collected or as required by law. You may request deletion of your data at any time by contacting us.
